Terms of Service

These Terms of Service (the “Terms”) govern your access to and use of Receipt X, an AI-powered receipt, invoice and expense management platform operated from the United Kingdom. By creating an account or using the service, you agree to be bound by these Terms.
1. Acceptance of Terms
By registering for an account, accessing, or using Receipt X (the “Service”), you confirm that you have read, understood, and agree to be bound by these Terms and by our Privacy Policy and Cookie Policy. If you are entering into these Terms on behalf of a company or other legal entity, you represent that you have the authority to bind that entity.
If you do not agree to these Terms, you must not access or use the Service.
2. Description of Service
Receipt X is a software-as-a-service (SaaS) platform that enables users to upload financial documents (including receipts, invoices, bills, and bank statements), automatically extract structured data using artificial intelligence and optical character recognition, and export that data to accounting systems such as Xero, QuickBooks and Sage. Available features depend on the subscription plan you select.
3. Account Responsibilities
You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to notify us immediately of any unauthorised use of your account. You must provide accurate and current information when creating your account and keep that information up to date.
4. Subscription & Billing
Paid plans are billed in advance on a monthly or annual basis in GBP. Subscriptions renew automatically at the end of each billing cycle unless cancelled beforehand. You may cancel at any time from your account settings; cancellations take effect at the end of the current billing period and no partial refunds are provided for unused time, except where required by law.
We may change our pricing at any time. Price changes for existing subscriptions will be communicated at least 30 days in advance and will take effect at the start of the next billing cycle.
5. Acceptable Use
You agree not to:
- upload documents you are not authorised to process;
- use the Service to store or transmit unlawful, infringing, or harmful material;
- attempt to reverse-engineer, scrape, or otherwise misuse the Service or its underlying AI models;
- interfere with the security or performance of the Service, or attempt to gain unauthorised access to accounts or data of other users.
6. Data Ownership
You retain full ownership of the documents and data you upload to Receipt X (“Customer Data”). We claim no ownership over Customer Data. You grant us a limited, non-exclusive licence to store, process, and transmit Customer Data solely to operate, provide, and improve the Service on your behalf.
You may export or delete your Customer Data at any time from within your account.
7. Service Availability
We aim to make the Service available on a continuous basis but do not guarantee uninterrupted, error-free, or fault-free operation. The Service may be temporarily unavailable due to maintenance, upgrades, or events outside our reasonable control. The Service and all AI-generated outputs are provided “as is” without warranties of any kind, whether express or implied.
AI-extracted data may contain errors and is provided as a productivity aid, not as a substitute for professional accounting or bookkeeping judgement. You are responsible for reviewing and validating any data before relying on it.
8. Limitation of Liability
To the maximum extent permitted by law, Receipt X and its officers, employees, and suppliers shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, data, or goodwill, arising out of or in connection with your use of the Service. Our total aggregate liability arising out of or relating to these Terms shall not exceed the amounts paid by you to us in the twelve (12) months preceding the event giving rise to the claim.
Nothing in these Terms limits or excludes liability that cannot be limited or excluded under applicable law, including liability for death or personal injury caused by negligence, or for fraud.
9. Termination
You may terminate your account at any time. We may suspend or terminate your access to the Service if you breach these Terms, fail to pay applicable fees, or engage in activity that we reasonably consider harmful to the Service or other users. On termination, your right to access the Service ceases, and we may delete Customer Data after a reasonable retention period.
10. Governing Law
These Terms are governed by and construed in accordance with the laws of England and Wales. You and Receipt X agree to submit to the exclusive jurisdiction of the courts of England and Wales in respect of any dispute arising out of or in connection with these Terms or the Service.
